Privacy Policy
Effective October 5, 2026
This Privacy Policy explains what BoomBop ("BOP", "we", "us") collects when you use the BoomBop app and the theboombop.com website (together, the "Service"), why we collect it, who we share it with, and the choices you have.
The short version: we collect what we need to run an account, answer your questions, run your productions and host live broadcasts. We do not sell your personal information and we do not show advertising.
1. What we collect
We collect information in three ways: what you give us, what the app records while you use it, and what our service providers send back.
- Account details. Your email address, the name you enter, your Bop ID (your unique handle), and which sign-in method you used (email and password, Google, or Apple). Passwords are handled by our authentication provider and are never visible to us.
- Ask Bop conversations. The questions you ask and the answers Bop gives are saved to your account so they follow you between devices. If you use Ask Bop as a guest, your conversation is kept on your device and is not saved to an account; each question is still sent to our server and, once you have allowed AI features, to Anthropic to be answered (see section 6).
- Tour content. Productions you create or join, and the announcements, schedule events, comments, confirmations, RSVPs and notes you add to them.
- Stage activity. Whether you have been cleared to broadcast, and for each broadcast you host: when it started and ended, how many people watched, the peak audience, average watch time, hearts received, and how it ended. We do not record the video or audio of a broadcast.
- Messages. Direct and group messages you send to other people on your productions, including photos, videos, voice texts, locations and polls. They are visible only to the people in that conversation. When you tap Translate on a message, its words (or your phone's transcript of a voice text) are sent through our server to Anthropic to be translated; the translation is kept only on your phone.
- Feedback, reports and blocks. Anything you send through Send feedback or shake-to-report; any report you make about a broadcast, message, comment, announcement, answer or person, including a copy of what you reported; and the people you block. We keep the app version and platform with feedback so we can reproduce what you saw.
- Device and usage data. A push notification token for each device where you allow notifications; when you open the app and roughly how long you stay; and, for Ask Bop, how much AI processing each of your questions used.
2. Permissions the app asks for
Each permission is optional. Declining one turns off the feature it powers and nothing else.
- Location (while using the app). Used to answer questions like "classes near me", to share where you are in a message when you choose to, and to suggest nearby places when you add an event. For Ask Bop, your position is sent to our server to search nearby listings, and only the city, region and country are sent to Anthropic. Your exact coordinates are not stored with your conversation; a location you share in a message is stored as part of that message. When a flight on your schedule is within a day and a half, and only if you have already allowed location, your phone works out how far you are from its airports and sends our server just a rough distance (at the airport, nearby, or farther), never your position, so the flight is checked more often as you get close. Nothing about where you are is sent to Anthropic for this, and the distance is not stored.
- Motion. Used only to detect a shake so you can send feedback. Motion readings are processed on your device and are never stored or transmitted.
- Photos. Used only when you choose a picture or video to send: in a message, with a question to Ask Bop, on an event or announcement, as a boarding pass, or as a booking for Bop to read. Only what you pick is used.
- Camera and microphone. The camera is used to take a photo or video you choose to send, and while you are broadcasting on Stage; the microphone for voice texts, dictation and broadcasting. Stage video and audio are streamed live to viewers and are not recorded by us.
- Speech recognition. Used when you tap the microphone to dictate, and when you turn a voice message into text. Your phone's own speech recognition (Apple's, on an iPhone) turns what you say into words; only the words reach BoomBop.
- Notifications. Used to deliver production updates, Stage alerts, invitations and reminders. You can turn them off at any time in the app or in your device settings.
3. How we use it
We use the information above to:
- create and secure your account and keep you signed in;
- answer your questions and run the other AI features you use, by sending what each one needs to our AI provider, Anthropic, once you have allowed it (see section 6);
- run productions: deliver announcements, schedules, invitations and reminders to the right crew members;
- host live broadcasts and show viewers who is live;
- send the notifications you have opted into;
- understand how the Service is used, fix problems and improve it;
- review feedback and reports, and moderate the Service;
- meet our legal obligations and enforce our Terms & Conditions.
4. Who can see your information
Other people on your productions can see your name, your Bop ID and what you post to that production. If an admin invited you by email, that email is visible to the crew of that production; if they invited you by Bop ID, it is not.
When you broadcast on Stage, everyone using the Service, signed in or not, can see your name, your broadcast title and your live video and audio.
A small number of BOP staff (our operators) can view account details, usage, feedback and reports in order to run and moderate the Service. Every action an operator takes is recorded in an audit log.
Operators cannot read your messages to other people. Messages you send to the BOP team through Bop Concierge are read by that team. When you report a message, comment or announcement, or block someone, the team receives a copy of the content you reported and who it came from, so that we can act on it. When an operator asks the Command Center's AI assistant about how the Service is running, the account, usage, feedback and report details it needs are sent to Anthropic in the same way as section 6 describes.
5. Service providers
We share information with the companies that help us run the Service, only to the extent needed for them to do so:
- Supabase, which hosts our database, authentication and file storage.
- Anthropic, whose Claude models power Ask Bop and the app's other AI features, only once you have allowed them. Section 6 lists exactly what is sent. When Bop needs to check a live fact it may also run a web search against a list of approved dance-industry websites.
- LiveKit, which carries live video and audio for Stage broadcasts.
- Expo, together with Apple and Google, which deliver push notifications to your device.
- Apple and Google, if you choose to sign in with them.
- Vercel, which hosts the website and the Ask Bop service.
- GIPHY, which answers GIF searches in messages: the words you search for are sent to GIPHY, and the GIFs load from its servers.
We may also disclose information if required by law, to protect the rights and safety of our users or the public, or as part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to your information.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
6. AI features and Anthropic
Ask Bop and the app's other AI features run on Claude, an AI service from Anthropic. Nothing is sent to Anthropic until you allow AI features: the app asks the first time you use one, and shows you this list before it does. If you say no, nothing is sent and everything else in the Service works as before.
When you use a feature, BoomBop sends Anthropic only what that feature needs, through our own server:
- Ask Bop: your question, any pictures you attach, the earlier messages in that chat, your time zone, and your city if you share your location. When a question is about your own things, also what Bop reads to answer it: your productions' schedule, travel (including booking references), announcements and crew, your messages (never a locked chat), and Stage.
- Bop Concierge: your messages to the BOP team and the conversation so far, so Bop can reply while the team is away.
- Translate: the words of the message you ask to translate.
- Add your booking: the booking or boarding pass you pick (a photo, screenshot or PDF), to read your trip, seat and boarding group from it.
- Look up a flight or train: the carrier, number, date and departure airport or station of a trip on your schedule: when you enter it, and again on its own as the day comes, to keep its times, terminals and gates up to date.
Anthropic processes this data on our behalf, as our service provider, only to produce the answer, the translation or the draft you asked for. Its terms with us do not allow it to train its models on this data or to use it for anything else, and require it to protect the data at least as strongly as this policy does. Anthropic may keep it for a limited time to keep its service safe, and then deletes it.
You can turn AI features off at any time in Settings. From then on nothing more is sent, and the app asks again before sending anything if you turn them back on.
7. Ask Bop and third-party websites
Bop is an AI assistant. It answers from BOP's own knowledge base, from listings we maintain, and from an approved list of dance-industry websites. Answers can be wrong or out of date. Every listing shows its source and when it was last verified, and you can report any answer or listing that is incorrect.
Links to other websites (studios, audition postings, social platforms) leave the Service. Those sites have their own privacy policies and we are not responsible for them.
8. How long we keep it
We keep your information for as long as your account is active.
If you hibernate your account, everything is kept exactly as it is until you switch it back on.
If you delete your account, it is deleted straight away: your account, profile, Ask Bop conversations and notes are removed, and your Bop ID is released for someone else to claim. A production you share with other crew is handed to another admin so their work is not lost; a production nobody else is on is deleted with the account. Content you posted to a production (announcements, comments, events) may remain visible to that production without your name attached.
Feedback, reports and operator audit records may be kept after an account is deleted where we need them to operate or protect the Service.
9. Your choices and rights
You can:
- see and change your name and other account details in the app;
- delete individual Ask Bop conversations and Tour notes at any time;
- turn notifications, location, motion, photos, camera and microphone access on or off in your device settings;
- turn AI features off in Settings, which stops anything more being sent to Anthropic;
- hibernate your account, or delete it permanently, from Settings — deletion happens immediately and cannot be undone;
- ask us for a copy of your information, or ask us to correct or delete it, by emailing support@theboombop.com.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the EU and UK General Data Protection Regulations, including the right to know what we collect, to have it deleted, and not to be discriminated against for exercising those rights. We will honour any valid request and will not ask for more information than we need to verify it.
10. Children
The Service is not directed at children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has created an account, please contact us and we will delete it.
11. Security
Information travels between your device and our servers over encrypted connections. Access to our database is controlled at the row level, so an account can only read what it is allowed to see, and operator access is logged. No method of storage or transmission is perfectly secure, so we cannot guarantee absolute security, but we work to protect your information and will tell you if a breach affects you.
12. International transfers
We are based in the United States and our service providers store and process information there. If you use the Service from elsewhere, your information will be transferred to and processed in the United States.
13. Changes to this policy
We may update this policy as the Service changes. When we do, we will change the effective date above and, for significant changes, tell you in the app. Continuing to use the Service after a change means you accept the updated policy.
14. Contact
